The London Stock Exchange Group (LSEG) approached our team with the task of designing an intranet for managing the tens of thousands of employees across their organization. As LSEG was going through a merger, they needed a solution to bring all of their employees under one domain and streamline the management of payroll, HR, and time management. Additionally, they wanted to explore the potential of incorporating a chatbot into the solution. They needed a team to build this within a 6-month window so that it could be handed off to their internal development teams before the employees needed to be onboarded and integrated into the new system.
Our team's approach was to focus on the user experience (UX) needs at scale, while also handling the large amount of incoming information and needs from different teams within the organization. We began by conducting research on the current systems and processes in place at LSEG, as well as gathering information on the specific needs and pain points of the employees. This helped us to understand the context and requirements for the project. We then used this information to develop a detailed design plan that incorporated an employee management system and a chatbot to assist with common HR queries.
We insisted on being integrated with the team, working remotely and at times on-site. This way we would be able to focus on an evergreen approach: by training and mentoring designers and developers in real-time, our solution would be passed off and scaled very easily and painlessly. This gave us the added bonus of having insider knowledge with folks who were plugged into the LSEG culture in ways that we were not, giving us insights and tribal knowledge we otherwise would not have access to.
Our main stakeholders were the Head of Design and the Head of People. Due to the nature of the merger, this project changed many hands throughout its duration, so it was imperative that we keep a solid record of insights, feedback, and decisions as new leadership shifted within the organization.
Our team delivered a comprehensive intranet solution that focused on the UX needs at scale and handling the large amount of incoming information and needs from different teams.
Our deliverables included: an employee management system to handle payroll, HR, and time management; a chatbot to assist employees with common HR queries; educational materials and training resources to help employees get familiar with the new system; technical documentation to assist with the implementation and maintenance of the solution; an "evergreen" design that can easily adapt to changing needs and future updates.
The intranet solution designed by our team helped LSEG to streamline their employee management processes and improve communication across the organization. The chatbot, in particular, was well-received by employees as it provided a quick and easy way to access information and assistance. Additionally, the educational materials and training resources provided helped to ensure that employees were able to smoothly transition to the new system. The "evergreen" design approach that we used allowed the solution to adapt to changing needs and future updates which was a great advantage for LSEG.
Furthermore, the technical documentation provided by our team assisted LSEG in maintaining and updating the solution in the future. Overall, our design project was able to help them to improve the efficiency and effectiveness of their employee management processes, which was a crucial step in the successful merger of the organization.
